How do we process your information? To provide, improve, and administer our Services, communicate with you about your quotes and jobs, for security and fraud prevention, and to comply with law.

How do we keep your information safe? We maintain reasonable organizational and technical safeguards. No system can be guaranteed 100% secure.

1. WHAT INFORMATION DO WE COLLECT?

Personal information you disclose to us

In Short: We collect personal information that you provide to us directly. We do not buy it from anyone.

We collect personal information that you voluntarily provide when you request a quote, schedule or receive services, enroll in our mobile messaging program, or otherwise contact us.

Personal Information Provided by You. The personal information we collect may include:

  • Name
  • Mobile and other telephone numbers
  • Email address
  • Service address and mailing address
  • Details about the property and work requested
  • Payment information (processed by our payment processor; we do not store full card numbers)
  • Photographs and video of the work performed at your property

Sensitive Information. We do not process sensitive personal information.

We do not obtain personal information from data brokers, lead generators, list vendors, affiliate programs, or joint marketing partners. Every phone number in our records was given to us directly by the person it belongs to, or by an authorized representative of that person (for example, a property manager or real estate agent acting on a client's behalf).

All personal information you provide must be true, complete, and accurate, and you must notify us of any changes.

Information automatically collected

In Short: Some information — such as your IP address and browser characteristics — is collected automatically when you visit our website.

We automatically collect certain information when you visit our website. This information does not reveal your identity but may include device and usage information, such as your IP address, browser and device characteristics, operating system, language preferences, referring URLs, general region, and information about how and when you use our website. This information is used to maintain the security and operation of our website and for internal analytics and reporting.

The information we collect includes:

  • Log and Usage Data. Service-related, diagnostic, usage, and performance information our servers automatically record in log files, including IP address, device information, browser type, date/time stamps, pages viewed, and error reports.
  • Device Data. Information about the computer, phone, or tablet you use to access our website, including IP address, device identifiers, browser type, hardware model, internet service provider, and operating system.
  • Approximate Location Data. We may derive an approximate, city-level location from your IP address for analytics and to confirm you are within our service area. We do not collect precise GPS location from your device through our website.

We do not use automatically collected website data to build advertising profiles about you, and we never combine it with your mobile messaging consent data.


2. MOBILE MESSAGING (SMS/TEXT) PROGRAM

In Short: We text you about your quotes, appointments, and invoices — only if you asked us to. We never share your number or your consent with anyone for marketing.

2.1 Program name

Saint Zita Softwash Notifications.

2.2 What we send

We send text messages relating to your service with us, including: appointment scheduling and reminders, delivery of service quotes, quote review reminders, estimated arrival times on the day of service, arrival and job-status updates, billing invoices, invoice reminders, and replies to questions you send us.

We do not currently send promotional or marketing text messages. Although the consent checkbox on our estimate form references promotional messages, our text messaging program is limited to the service and account messages described above. If we begin sending promotional text messages in the future, we will collect separate, explicit consent for them and will update this Privacy Notice before doing so.

2.3 How you opt in

We only send text messages to people who have given us express written consent to receive them. You may provide that consent in the following ways:

  • Online quote request form. When you submit a request through our online estimate form (linked as "Free Estimate" from every page of saintzitasoftwash.com and hosted on our behalf by our field service platform, QuoteIQ), you may check a box — which is not pre-checked — that reads:

    "I agree to receive updates and marketing messages from Saint Zita Softwash at the phone number provided above. I understand I will receive occasional promotional messages, order updates, or other relevant communications, and I can opt out at any time. Data rates may apply, reply STOP to opt out"

    The box is not pre-checked, and submitting the form without checking it does not enroll you in text messaging or prevent you from receiving a quote by phone or email.
  • By phone or in person. If you give us your mobile number verbally when requesting an estimate or scheduling service, we will ask whether you would like to receive text updates about your job, and we will record your answer. We disclose the same information listed above at that time.
  • By texting us first. If you initiate a conversation by texting our business number at 737-271-8766, we will treat that as your consent to reply to you by text about your inquiry.

Consent to receive text messages is not a condition of purchasing any goods or services from us. You can work with Saint Zita Softwash entirely by phone or email if you prefer.

2.4 Message frequency

Message frequency varies based on the status of your quote or job. During an active quote or scheduled service you may receive several messages in a given week; when you have no active job, you may receive none.

2.5 Message and data rates

Message and data rates may apply. Carriers are not liable for delayed or undelivered messages.

2.6 How to opt out

You can cancel the SMS service at any time. Reply STOP to any message, or text STOP to 737-271-8766. We will send one final message confirming you have been unsubscribed, and you will receive no further text messages from us. You may also opt out by emailing marco@saintzitasoftwash.com or calling (512) 222-7231.

2.7 How to get help

2.8 Sharing of mobile information — our commitment

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing with subcontractors in support services, such as customer service, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

To be explicit about what this means in practice:

  • We do not sell, rent, lease, or trade your phone number.
  • We do not share your phone number or your messaging consent with any third party, affiliate, lead generator, data broker, or advertising network for that party's own marketing or promotional purposes.
  • The only parties that touch your phone number for messaging are the vendors that operate our messaging system on our behalf and under contract — currently our field service management platform (QuoteIQ) and our messaging carrier (Twilio, Inc.). These vendors act solely as our service providers, may use your information only to deliver our messages, and are prohibited from using it for their own purposes.
  • Your messaging opt-in data and consent are excluded from every other use case described in this Privacy Notice and are never disclosed to third parties.

2.9 Age

Our mobile messaging program is intended for individuals 18 years of age or older.


3. HOW DO WE PROCESS YOUR INFORMATION?

In Short: We process your information to deliver our Services, communicate with you, keep our business secure, and comply with law.

We process your personal information for the following reasons:

  • To deliver and facilitate delivery of services to you. To provide the pressure washing, soft washing, or window cleaning services you requested.
  • To respond to your inquiries and offer support. To answer your questions and resolve issues with your service.
  • To prepare and deliver quotes. To scope, price, and send you an estimate for the work you asked about.
  • To fulfill and manage your orders. To manage scheduling, payments, invoices, and any follow-up work.
  • To send you transactional communications. Including appointment reminders, quote and invoice notifications, and job status updates by phone, email, or text (see Section 2).
  • To request feedback. To ask about your experience with our Services.
  • To send you occasional communications about our own services, where you have not opted out. You can opt out of these at any time using the methods described in Sections 2 and 9.
  • To post testimonials. We may post reviews, photographs, or video testimonials on our website and social media. Where a testimonial identifies you or shows your property, we obtain your permission first, and you may ask us to remove it at any time.
  • To evaluate and improve our Services. To identify trends and improve the quality of our work and your experience.
  • To comply with legal obligations and protect our rights. Including tax, accounting, and insurance requirements, and defending legal claims.

We do not use your information to build advertising profiles or to deliver behaviorally targeted advertising to you.


4. WHEN AND WITH WHOM DO WE SHARE YOUR PERSONAL INFORMATION?

In Short: We share information only with the vendors that help us run the business, and only so they can perform services for us. We do not sell or share your information for anyone else's marketing.

We do not sell your personal information. We do not share your personal information with third parties or affiliates for their own marketing or promotional purposes.

We disclose personal information only in the following situations:

  • Service providers. We use a small number of vendors to operate our business. Each is bound by contract to use your information only to perform services for us and for no other purpose. These include:
    • Field service management and quoting — QuoteIQ (quotes, scheduling, invoicing, customer records, messaging)
    • Messaging carrier — Twilio, Inc. (delivery of SMS messages)
    • Website and CRM hosting — HubSpot, Inc.
    • Website analytics — Google Analytics
    • Payment processing — Stripe, Inc. and Intuit QuickBooks Payments
    • Accounting and invoicing — Intuit, Inc. (QuickBooks)
    These vendors are service providers, not marketing partners. They do not receive your information for their own marketing use.
  • Subcontractors. If we engage a subcontractor to help perform work at your property, we share only the information necessary to complete that job (such as your name, service address, and scope of work). Subcontractors are bound by the same restrictions described in this Notice.
  • Legal compliance. We may disclose information where required by law, subpoena, or court order, or where necessary to protect our rights, safety, or property, or the rights or safety of others.
  • Business transfers. We may share or transfer your information in connection with, or during negotiations of, any merger, sale of company assets, financing, or acquisition of all or a portion of our business. Any successor will be bound by the commitments in this Notice, including the mobile information commitment in Section 2.8.

In every case above, text messaging originator opt-in data and consent are excluded and are not shared with any third party.


5. DO WE USE COOKIES AND OTHER TRACKING TECHNOLOGIES?

In Short: We use cookies to run the website and understand how it is used. We do not use them to sell your data.

We use cookies and similar technologies (like web beacons and pixels) to gather information when you interact with our website. These help us maintain security, fix errors, save your preferences, support basic site functions, and understand how visitors use the site.

We do not permit third parties to use tracking technologies on our website to build cross-site advertising profiles about you, and we do not sell or share (as those terms are defined under applicable US state privacy laws) personal information collected through these technologies.

Google Analytics. We use Google Analytics to understand how our website is used. To opt out of being tracked by Google Analytics, visit https://tools.google.com/dlpage/gaoptout. For more information on Google's privacy practices, visit https://policies.google.com/privacy.

Most web browsers accept cookies by default. You can set your browser to remove or reject cookies, though this may affect certain features of our website.

Website cookies are never linked to your mobile messaging consent, and no data collected through cookies is used to enroll you in our text messaging program.


6. HOW LONG DO WE KEEP YOUR INFORMATION?

In Short: We keep your information only as long as we need it for the purposes described in this Notice, unless a longer period is required by law.

We keep personal information only as long as necessary for the purposes set out in this Privacy Notice, unless a longer retention period is required or permitted by law (such as tax, accounting, or insurance requirements). Specific retention periods are listed in Section 11.

When we no longer have a legitimate business need to process your personal information, we will delete or anonymize it, or, if that is not possible (for example, because it is stored in backup archives), we will securely store it and isolate it from further processing until deletion is possible.

Opt-out records. If you opt out of our mobile messaging program, we retain a record of your phone number on our do-not-contact list indefinitely, for the sole purpose of ensuring we do not text you again. This record is never used for any other purpose and is never shared.


7. HOW DO WE KEEP YOUR INFORMATION SAFE?

In Short: We use reasonable organizational and technical security measures.

We have implemented appropriate and reasonable technical and organizational security measures designed to protect the personal information we process. However, no electronic transmission over the internet or information storage technology can be guaranteed to be 100% secure, so we cannot promise or guarantee that unauthorized third parties will not defeat our security and improperly access your information. Transmission of personal information to and from our Services is at your own risk.


8. DO WE COLLECT INFORMATION FROM MINORS?

In Short: We do not knowingly collect data from or market to children under 18 years of age.

We do not knowingly collect, solicit data from, or market to children under 18 years of age, nor do we knowingly sell such personal information. By using the Services, you represent that you are at least 18 years old. If we learn that we have collected personal information from someone under 18, we will take reasonable measures to promptly delete it from our records. 9. WHAT ARE YOUR PRIVACY RIGHTS?

In Short: You may review, change, or withdraw your consent at any time.

Withdrawing your consent. If we are relying on your consent to process your personal information, you have the right to withdraw that consent at any time by contacting us using the details in Section 13. Withdrawal does not affect the lawfulness of processing before withdrawal, or processing conducted on other lawful grounds.

Opting out of text messages. Reply STOP to any message from us, or text STOP to 737-271-8766. See Section 2.6 for full details.

Opting out of marketing emails. Click the unsubscribe link in any marketing email we send, or contact us using the details in Section 13. We may still send you service-related messages necessary for the administration of your account or to respond to your service requests.

Cookies. Most browsers accept cookies by default. You can set your browser to remove or reject cookies, which may affect certain site features.

10. CONTROLS FOR DO-NOT-TRACK FEATURES

Most web browsers and some mobile operating systems include a Do-Not-Track ("DNT") feature you can activate to signal your preference not to have your online browsing activities monitored. No uniform technology standard for recognizing and implementing DNT signals has been finalized. As such, we do not currently respond to DNT browser signals. If a standard is adopted that we must follow, we will inform you in a revised version of this Privacy Notice.

California law requires us to disclose how we respond to DNT signals. Because there is currently no industry or legal standard for honoring them, we do not respond to them at this time.


11. DO UNITED STATES RESIDENTS HAVE SPECIFIC PRIVACY RIGHTS?

In Short: If you are a resident of Texas or certain other states, you may have rights to access, correct, delete, or obtain a copy of your personal information, and to withdraw consent.

Retention

We will use and retain the collected personal information as needed to provide the Services or for:

  • Category A — 5 years from the date of last service
  • Category C — 5 years from the date of last service, or longer where required by tax and accounting law
  • Category E — 26 months (Google Analytics default retention)
  • Category F — 5 years from the date of last service
  • Category G — 5 years from the date of last service. Where you have given us permission to use a photograph or video as a testimonial, we may retain and display that specific item until you ask us to remove it.
  • Category H — 5 years from the date of last service

Records of opt-out requests are retained indefinitely as described in Section 6.

Sources of Personal Information

All personal information described above is collected directly from you, from your authorized representative, or automatically from your device when you visit our website, as described in Section 1. We do not obtain personal information from data brokers, lead generators, list vendors, or joint marketing partners.

How We Use and Share Personal Information

Will your information be shared with anyone else?

We disclose personal information to our service providers pursuant to a written contract with each service provider, as described in Section 4. Those service providers are prohibited from using your information for their own purposes.

We may use your personal information for our own internal business purposes, such as improving our Services. This is not considered "selling" your personal information.

We have not sold or shared any personal information to third parties for a business or commercial purpose in the preceding twelve (12) months, and we will not sell or share the personal information of website visitors, customers, or other consumers in the future.

Your Rights

You have rights under certain US state data protection laws. These rights are not absolute, and in certain cases we may decline a request as permitted by law. These rights include:

  • Right to know whether we are processing your personal data

If we cannot verify your identity from information already in our records, we may request additional information for verification and fraud-prevention purposes.

If you submit a request through an authorized agent, we may need additional information to verify your identity, and the agent must provide written and signed permission from you.

Appeals

We will inform you in writing of any action taken or not taken in response to the appeal, including a written explanation of the reasons for the decision, within 60 days.
